
VENDORS SET-UP REQUIREMENTS
Leaving the Festival
After vending hours, vendors must call the attention of a member of the Festival staff to inspect their stand and sign off on the status of furniture. Any electronic devices must also be returned to the Festival Payment team before departing the Festival premises.
Failure to return a device or returning a damaged device will attract a penalty. No exceptions!
Vendor Behaviour
Vendor displays must be clean, organized and visibly tidy.
Any product or signage that is inappropriate or offensive to a multicultural audience with elders and children will be removed.
Vendors will be responsible and billed directly for any damage caused to the items provided to the vendor (listed under vendor provisions above) and/or to the venue as a result of their actions at the Festival.
Participants must be able to produce at high volume and withstand production in an outdoor environment under restrictive conditions. Participants must maintain the highest possible standards of sanitation practices, proper food handling, professionalism and personnel training.
In instances where the majority of food preparation and cooking for the event takes place outside the event venue, participants hereby affirm and must ensure they have the proper arrangements in place to cook, transport, and store the food in compliance with food hygiene/sanitation standards and best practices.
Each vendor must ensure that their display and all its associated materials are contained within their assigned space. Extending beyond this space is forbidden. This rule will be strictly enforced.
A vendor can only place any material whatsoever outside their assigned space with the explicit approval of neighboring vendors and the Festival management team.
Even though electricity will be provided, food providers are required to bring their own hygiene management and food preparation equipment. No other services, utilities, or equipment will be provided to vendors by the festival team.
Waste Management
Vendors must provide a trash can within their vending stand. The festival management team is unable to provide individual waste bins to vendors, so you must provide your own.
Vendors are responsible for leaving their space in the condition in which it was originally received. All debris must be removed by the vendor. The festival site must be left clean and tidy at the end of the day.
Vendors who leave materials on the festival site after vacating their vending space agree to pay a fine of 50GBP/65USD.
No Liability
Under no circumstances shall AfroFlavour Entertainment and their event sponsors, representatives, successors and/or assigns be liable for any lost profits or any incidental, special, indirect, unintended or consequential damages whatsoever for any of their acts or omissions, whether or not appraised of the possibility of any such lost profits or damages.
AfroFlavour Entertainment makes no representation or warranties, expressed or implied, regarding the number of persons who will attend the event or regarding any other matters.
Vendors must also take all possible precautions to protect their own property, including insurance for liability within their vending space.
AfroFlavour Entertainment and the festival management team are not responsible for stolen or damaged merchandise while the vendor is on the property. Also, AfroFlavour Entertainment and the festival management team are not responsible or liable for any injuries or accidents occurring while the vendor is on the festival site, transporting or removing their products.
The vendor is also responsible for notifying festival visitors of potential hazards that could result from their products, i.e. food allergies.
Cancellations
Vendors may cancel their reservation before June 1, 2024, for Manchester and July 1st, 2024, for a full refund. Any cancellations beyond this date are non-refundable.
AfroFlavour Entertainment and the Festival team reserve the right to cancel a booking at any time for a full refund.
Other AfroFlavour Food Festival Events
Pre-Event Cocktails
Discussions are underway to host a Pre-Event Cocktail on the day before the event. Should this crystallize, details will be communicated to all vendors in good time.
Food Business Conference
All Vendors will receive a free pass (valued at 50GBP) for ONE representative to attend the Food Business Conference from 9am to 11am on the event day. This is in keeping with our objective of catalyzing the growth of African Food Businesses by sharing knowledge, skills and ideas that transform the mind.
Afro Vibes After Party
All Vendors will receive 2 free passes (valued at 25GBP) for TWO representatives to attend the Afro Vibes After Party from 10pm to 3am on the event day. This is in keeping with our Work Hard, Play Hard philosophy. Details will be communicated in due course.
Post Festival Interactions.
All Vendors will be notified of any/all post-festival interactions, and they can choose whether or not to participate. This is in keeping with our determination to deliver maximum value to all Vendors. Details will be communicated in due course.
*Payment and Fees*: Accepted vendors are required to pay a non-refundable participation fee upon confirmation of their application. Additional fees may apply for utilities, equipment rental, or other services requested by the vendor.
*Booth designation*: Food vendors will learn of their booth location on arrival at event. All vendor placements are subject to change. Vendors may request specific locations, but will not be guaranteed any particular location.
*Booth Fee*: The entire dimensions of your workspace MUST fit into the assigned booth space. Any unit over the requested booth space requires you to purchase additional space.
*Menu and Products*: Vendors must provide a detailed menu of food items they intend to sell at the festival. All food products must meet local health and safety regulations. Any changes to the menu must be approved by the organizers in advance.
*Health and Safety*: Vendors are responsible for maintaining a clean and hygienic food preparation area at all times. Food handling practices must comply with local health regulations. Vendors must also have appropriate permits and licenses to operate.
*Cancellation Deadline:* Vendors must notify the festival organizers of their intent to withdraw no later than 15 days prior to the event start date.
*Refund Policy:* If withdrawal notification is received before the cancellation deadline, a full refund of the booth fee will be issued. Withdrawals after the cancellation deadline will not be eligible for a refund.
*Notification Process:* Vendors must submit their withdrawal request in writing via email to Afroflavour. The subject line should include “Vendor Withdrawal – [Vendor Name].”
*Replacement Policy:* If a vendor withdraws after the cancellation deadline, it is their responsibility to find a suitable replacement. The replacement vendor must be approved by the AfroFlavour team organizers.
*Impact on Event:* Vendor withdrawal may affect the festival’s layout and programming. AfroFlavour reserve the right to reassign booth spaces and adjust event schedules accordingly.
*Clean Up*: Vendors are responsible cleaning around their booth space for all garbage, sweeping etc at conclusion of event. Unsatisfactory cleaning of booth space area, not following grey water and garbage guidelines during or post event will attract a fee.
*Insurance*: Vendors are required to have liability insurance coverage for the duration of the festival. Proof of insurance must be provided to the organizers upon request.
*Set-up and Tear-down*: Vendors must adhere to the designated set-up and tear-down schedule provided by the organizers. Any special requirements or requests must be communicated in advance.
*Promotion and Marketing*: Vendors are encouraged to actively promote their participation in the festival through their own marketing channels. The organizers will also promote the festival through various channels, but vendors are responsible for their individual marketing efforts.
*Parking/loading and unloading*: Vendors will be given a setup time prior to the event. These times will be strictly abided by so as to keep traffic flowing as much as possible. Parking during the event is responsibility of the vendor. No vehicles will be allowed to remain in the event area. At no point should the alley way be blocked. Please load and unload as quickly as possible to allow other vendors in.
*Compliance*: Vendors must comply with all rules and regulations set forth by the organizers and the venue management. Failure to comply may result in expulsion from the festival without refund.
*Indemnification*: Vendors agree to indemnify and hold harmless the festival organizers, sponsors, and affiliates from any claims, damages, or liabilities arising from their participation in the festival.
*Miscellaneous*: The organizers reserve the right to make changes to the terms and conditions as necessary. Vendors will be notified of any changes in writing.
